Which dimensions are critical in road transport?

I see it happen again and again. A customer calls, books a vehicle, gives me the dimensions of their cargo and everything sounds straightforward. The vehicle is provided, the driver arrives – and then it turns out on site that the cargo is larger than stated.

That is exactly what happened to us recently. A customer had reserved a vehicle with us for a load 3.00 metres wide. We prepared everything, the driver arrived on time. And then the surprise: the load was not 3.00 metres wide, but 3.25 metres. That sounds like very little. It is not. At such dimensions, the transport operator is obliged to apply for a special permit in advance and to have it on board at the time of loading. That presupposes that we, as the forwarder, know the exact dimensions before we schedule. The customer did not know them precisely enough. Result: no permit, no loading, and the customer still had to bear the cost of providing the vehicle. Nobody was happy.

Why am I telling this story? Because it is not an isolated case. And because situations like this can almost always be avoided with a little knowledge up front.

The four dimensions that really count

In road transport there are four figures that decide everything: width, height, length and weight. Under Section 32 of the German Road Traffic Licensing Regulations (StVZO), the following upper limits apply to standard vehicles in Germany. Width may not exceed 2.55 metres, or 2.60 metres for refrigerated and insulated vehicles. Height is limited to 4.00 metres. An articulated lorry may be no more than 20.75 metres long. Gross weight is capped at 40 tonnes – and at 44 tonnes in combined road and rail transport.

As soon as one of these values is exceeded and the load cannot be divided, you are in special transport territory. That means: permits first, before anything moves.

Height is trickier than width

Width can still be estimated reasonably well. Height cannot. The problem is that it is not only the vehicle that counts, but everything together – vehicle plus the load on top. Anyone driving 4.20 metres under a bridge with 4.00 metres of clearance has a serious problem.

In international traffic in particular I take this very seriously. Other countries apply different clearances for bridges and tunnels. What still passes in Germany can already be critical in Poland, Hungary or Türkiye. My recommendation: as soon as a load is higher than 3.80 metres, the route must be checked before scheduling. Not on a "it will probably fit" basis.

Weight sounds simple, but it is not

Many people think: 40 tonnes gross weight, I know that one. What is often forgotten are axle loads. A single axle may carry a maximum of 10 tonnes, a double axle 18 tonnes and a triple axle 24 tonnes.

Even if the gross weight is correct, an individual axle can be overloaded if the cargo is poorly distributed. Every weighbridge detects that instantly. I have seen drivers wait for hours because nobody checked the axle load distribution before departure. That is lost time, and nobody refunds it.

When do I need a permit?

As soon as the standard dimensions are exceeded and the load cannot be divided, the transport operator must apply for two permits: one under Section 70 StVZO and one under Section 29 StVO. Both must be in place before the journey, and the driver must have them on board at loading. Responsibility clearly lies with the transport operator, not with the client. That means we have to know the exact dimensions of the load before we even start planning. The authorities review the planned route, bridge load capacities, tunnel heights and narrow passages through towns. That takes time – sometimes a few days, sometimes several weeks.

This is exactly where the most common mistake happens in practice: dimensions are communicated imprecisely, the permit is not applied for at all or applied for too late, and then the driver stands in front of the load and cannot depart – just like our customer with the 3.25 metres.

Escort vehicles: when are they mandatory?

Not every special transport automatically requires an escort. But above certain excess dimensions it is mandatory. For minor excess dimensions a BF2 escort vehicle is sufficient. For larger transports a BF3 vehicle is used. And for extreme excess widths or very heavy loads, a police escort is compulsory.

This is not bureaucracy for its own sake. An articulated lorry five metres wide on an ordinary trunk road is genuinely dangerous for every other road user.

What happens if you ignore all this?

The police can prohibit onward travel immediately. The truck stands still until the situation is resolved. Add to that fines and, in the case of road damage caused by overloaded axles, even liability. And the delivery date is gone.

No client covers these costs if the transport set off without the necessary permit. That is my experience from many years in the industry, and I say it that directly because I have seen what happens when it is underestimated.

What you should take away

Establish the dimensions precisely before a vehicle is scheduled. Not approximate dimensions, but measured values. For loads over 3.80 metres high or over 2.55 metres wide, check immediately whether a permit is required. Apply for permits in good time, not at the last minute. And check the axle load distribution before departure.

That sounds like a lot. It is not. It is simply careful preparation, and in the end it saves time, money and nerves.
